Job Description:
The Virgin Islands Public Broadcasting System has an opening for an Accountant position on St. Thomas. The successful candidate will be responsible for Accounts Receivables, Payroll, Inventory Maintenance, and maintaining Financial/Accounting records for the System. Duties and Responsibilities: Payroll Timecard Processing · Review timecards and verify with supervisors if there are any discrepancies in terms of unclear differences, authorized overtime, shift differentials, or reasons for absences, either paid or unpaid; · Process timecards (missing punches, absences, correct pay codes are applied, fully executed documentation are received, etc.); · Prepare Miscellaneous Payroll Records; and · File timecards and supporting documentation in an accurate and timely manner. Payroll Processing · Process bi-weekly payroll checks and direct deposit transactions for the internal payroll; · Process payroll liability payments for fringe benefits, taxes, and employees’ deductions; · Manage and maintain employees’ payroll records; · Timely file payroll taxes and ensure all requirements are met while avoiding overpayment; · Perform quarterly period end closing of the payroll subsidiary ledger; · Resolve all employee payroll discrepancies; · Prepare Form W-2VIs, distribute to employees and file with the appropriate governmental agencies; and · File payroll records and supporting documentation in an accurate and timely manner. Accounts Receivable · Invoice data entry; · Prepare invoices/statements for customers; · Collect and verify revenues; · Collect and reconcile cash from fundraising events; · Prepare summary of deposits and transmit to Senior Accountant; · Prepare journals for posting to the general ledger; · Perform cash receipt entry for posting to the general ledger; · Resolve billing/payment discrepancies and work with the Development Office to ensure timely collection of revenues; · Track company charitable contributions; · Attend fundraising events to collect, verify and assist in reconciling proceeds from the event; · Reconcile accounts receivable subsidiary ledger to the general ledger; and · File accounts receivable records and supporting documentation in an accurate and timely manner. Inventory · Manage and maintain the System’s inventory to include asset transfers and disposals; · Communicate with the Department of Property and Procurement regarding changes to the System’s fixed asset inventory; · Assist the Department of Property and Procurement with physical inventory of the System’s fixed assets; and · Purchase office supplies and all items that are essential to the office. Other Duties · Create new files at the end of the fiscal year for vendors, board members and employees; · Assist with compiling information for the annual audit, budget preparation and reporting; · Assist with recording and processing purchase orders, invoices and request for disbursement authorizations in an accurate and timely manner and in accordance with departmental procedures in the absence of the Senior Accountant; · Assist with preparing excel reports of payroll expenses processed through the Department of Finance with salaries and fringe benefits for posting to the general ledger in the absence of the Senior Accountant, and forward to Director, Business Affairs for approval; · Maintain separate files for transactions purchased with federal funds; · Perform other business office related duties to include special projects when required; · Perform general office duties such as answering telephones, and handling routine correspondence; · Communicate with co-workers, management, customers, vendors, and others in a courteous and professional manner; and · Conform with and abide by all regulations, policies, work procedures, and instructions. Qualifications: - Associate degree in accounting or equivalent from a two–year college or technical school with two (2) years accounting experience; or 5 years of related accounting experience and/or training with 12 accounting credits; or equivalent combination of education, experience, and training that provides the knowledge, skills, and abilities to perform the job;
- Computer literate in Microsoft Office and good working knowledge of Excel;
- Excellent written, oral, and interpersonal communication skills; and
- Good time management skills.
Other Requirements: - Ability to lift at least 30 pounds;
- Ability to be accurate and proficient in performing accounting calculations;
- Ability to work flexible hours;
- Ability to drive with a valid VI Driver’s License;
- Ability to travel between islands;
- Ability to recommend creative and innovative ideas; and
- Ability to use general office equipment.
