Job Description:

Summary 

Provides administrative support to the Chief Financial Officer/Vice President of Operations.

Essential Functions

  • Compose and edit internal and external correspondence, documents, etc.
  • Create and update manuals, policies and procedures
  • Prepare, edit, assemble and distribute meeting/presentation agendas and materials for meetings chaired by the CFO/Vice President of Operations
  • Attend meetings; record, transcribe and distribute meeting minutes
  • Coordinate meetings and training sessions
  • Sort, screen, review and distribute incoming and outgoing mail
  • Assist with reporting requirements, audit preparation, creation of spreadsheets, reports and financial data
  • Coordinate and track progress and results of various Operations and Accounting projects
  • Organize and manage the Bank’s electronic and hard copy records
  • Assists with the ordering of forms, supplies and equipment
  • Disburse and reconcile petty cash
  • Support staff on assigned projects
  • Answer telephone and transfer calls to appropriate staff member
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, filing and scanning

Additional Responsibilities

  • Meet and greet clients and visitors
  • Provide client support and service
  • Assist the Controller with data entry and other accounting duties
  • Perform other duties as assigned


Skills Required

Education, Experience and Skills

  • High School diploma or equivalent required; some college preferred
  • Minimum of three (3) years administrative experience
  • Basic knowledge and understanding of accounting practices and principles
  • Strong communication (verbal and written), interpersonal and customer service skills
  • Must be detail-oriented with a high level of accuracy, excellent grammatical and proofreading skills
  • Self-starter capable of working independently with minimal supervision and guidance
  • Temperament to communicate with a variety of personalities in a tactful, pleasant and professional manner
  • Must be a proactive, resourceful and efficient
  • Ability to support multiple team members in a variety of tasks and deliver quality work in a timely manner
  • Ability to exercise independent judgment to plan, prioritize and organize diversified workload and recommend changes in office practices and procedures
  • Advanced organization, planning and project coordination skills
  • Proficient in Microsoft Office software and experience with document creation software such as Adobe Acrobat is required
