We are currently looking for a Full-Time Administrative Assistant to provide administrative services to the Virgin Islands National Guard Job Location: Virgin Islands National Guard Recruiting and Retention Battalion, Lionel Jackson Armory, Estate Bethlehem Christiansted, VI Minimum Qualifications: 1) Must possess a valid US driver’s license and insurance 2) Experience working in a military or other government environment. 3) 1 year minimum experience working as an Administrative Assistant and be proficient in basic office tasks: answering phones, keeping accurate records and files, producing quality deliverables, etc. 4) Minimum certificate of completion of high school with experience. Some college plus experience preferred. 5) Professional, reliable, detail-oriented professionals encouraged to apply. Preferred Qualifications: 1) Admin Experience with HIPPA Compliance 2) Experience working in a military environment 3) Active Security Clearance Key Responsibilities Attend and participates in scheduled meetings Maintain personnel and financial data records Knows and consistently follows Virgin Island National Guard policies, protocols and procedures Remains in full compliance with HIPAA laws and accreditation requirements Demonstrates good use of time and resources and Interact with clients and staff in a professional manner Assist management in interpretation and utilization of reports and information provided; aid functional areas in identifying areas of record documentation and procedures that can be streamlined, combined or improved and initiate methods to operate under the new or revised system Perform the duties as the Inter-State transfer coordinator for enlisted personnel Prepare and send correspondence, IAW current regulations, policies and directives Answer inquiries relating to administrative policies and procedures Maintain office files in accordance with applicable regulations and ensure the timely response to suspense actions Receive incoming mail and make proper distribution Prepare and distribute required forms and documents Prepare weekly Situation Report (SITREP) Prepare presentations, briefings, and administrative reports Manage and maintain the Commander's schedule Manage and maintain the Master Calendar Work Hours: Monday through Friday 8:00am – 5:00pm Please note this is a contract position with the federal government.
