Barry University Physician Assistant Program is currently seeking someone was will be the Administrative assistant to keep the office running smoothly and efficiently within a teamwork environment. Organized coordination of classes, people, rooms, supplies, and schedules would be the ultimate goal.
This is an entry level position for a general office assistant that works well in a team environment. Flexibility, good attitude, good organizational skills, and good communication skills are highly desired. | ESSENTIAL DUTIES: |

- Perform basic administrative office work to assist the needs of faculty, staff and
adjuncts. - Attend to errands to other campuses, post office, or retail businesses.
- Maintain equipment and supplies necessary to serve all office functionality.
- Compose correspondence and memos from brief verbal instructions or notes, answer mail requiring initiative and judgment to plan, organize, and set up in proper form.
- Take minutes at meetings whenever needed.
- Input data and maintain confidentiality of student information and record.
- Answer telephone, take messages, and reply to questions in accordance with general instructions.
- Transmit instructions or information to and from staff members.
- Assist in coordinating seminars, classes, and other events by preparing schedules, notifying speakers, securing rooms, and ordering refreshments.
- Prepare IAV and live meeting work orders for DoIT.
- Coordinate all aspects of new candidate Admission interviews.
- Download, print and prepare CASPA applications for faculty review.
- After interview dates are set, send out invitations, maintain correspondence with candidates, schedule rooms.
- On interview days, coordinate agenda with greeting, tour, lunch, and presentations.
- Prepare and maintain folders for candidates to receive on interview
day. - Attend Admission team meetings and take minutes as needed.
- Assist in the planning and implementing of annual PA events,
including the New Student Orientation, Clinical Orientation, White Coat ceremony and Convocation. - Assist all Barry schools and their staff during events at the University Partnership Center or other campuses when necessary.
- Proctor exams, assist with the administration of course evaluations and coordinate data with equivalent staff member in Miami
Shores. - Attend to student requirements as needed.

QUALIFICATIONS: |

- High school diploma or GED required.
- Associate's degree, or vocational or technical school degree in business preferred.
- Valid Driver's license required.
- 1 - 3 years of related experience required.

Proficiency is needed in general office programs such as Microsoft Word, Excel and other software as required by the department. Must be willing to become knowledgeable about the Black Board program and other software that are specific to the PA program.
