Job Description:

To manage and coordinate clinical rotations in the area of request, confirmation, site/preceptor approval/credentialing and orientation clearance. Liaison between clinical sites and program for all student rotation placement needs.

This position is located in St. Croix 

 Essential Duties:

1.    Maintenance of Clinical Rotation Data Bases

·         Update preceptor and site contact information in the procedure manual, electronic plotting grid and Typhon.

·         Update student rotation assignments on the paper "brain" schedule, electronic plotting grid and Typhon.

·         Maintain and updated clinical data in PA Manager.

·         Monitor/Tracking of Rotation as well as End of Rotation Absences

1.    Preparation of Documents for Clinical Rotation Assignments

·         Confirmation of clinical site/preceptor availability.

·         Notify clinical sites/preceptors of student assignments.

·         Notify students of rotation assignments and requirements

·         Assist students with time sensitive site requirements (FBI screening, employment verifications, additional vaccines, mandatory orientation and credentialing instructions for clearance).

·         Submit mandatory documents to health care facilities including health records, background checks, drug screen, passport, degree, transcript, and CV

·         Prepare and submit Letters of Good Standing (LOGS) to clinical sites/preceptors. 

·         Conduct Summative File Review session prior to final summative evaluation

·         Create, scan, and electronically store Clinical Orientation Certificates
 

·         Communication Liaison for Clinical Team

·         Answer emergency calls from students on rotations and contacts faculty and staff when necessary for assistance.

·         Answer preceptor calls in regards to students and urgent rotation matters.

·         Communicate effectively with clinical faculty regarding student and preceptor issues and any changes in schedules.

·         Participation in clinical team meetings.

·         Prepare and mail certificate of appreciation to all Medical Education and Hospital coordinators.

·         Prepare and coordinate annual mailing of CME certificates for each preceptor

·         Collaboration within University with other departments for eternal events

·         Rotation of writing/distributing Clinical Team meeting minutes

·         Present guidelines on Immunization Tracking System, Criminal Background Check, and Health Insurance during New Student Orientation

·         Auditing of health compliance for matriculation/didactic year students

·         Alumni recruitment  (emails and follow-up phone calls) in conjunction with Site Development Tea

·         Back-up for End of Rotation Events 

·         Assist Contract Specialist with distributing preceptor applications to potential preceptors, tracking, and data entry into PA Manager

·         Clinical Orientation Back-up

·         Submit preceptor credentials to Medical Director and/or Legal Department of approval

·         Assist with all Program events (NSO, Commencement, Convocation, White Coat Ceremony)

·         St. Croix Campus Additional Duties:

·         Support clinical year student activities as such as Clinical Orientation, EOR Activities and File Review every six weeks. Maintain clinical files for USVI clinical students.

·         Schedule PD Lab Instructors for CSEs in 2nd year.

·         Facilitate mainland clinical student entry into the USVI rotation pattern.

·         Coordinate all USVI clinical activities with other Clinical Team members.

·         Assist with Community Outreach:

·         Information sessions to potential community partners                                                                                                                                                                    

·         Candidate recruitment via community exposition events and health fairs

·          Preceptor/site recruit and retention

·         Ensure all clinical students for the St. Croix Campus are entered and enrolled in Canvas

·         Enter all St. Croix preceptor comments in PA Manager

·         American Data Bank Liaison (Criminal Background/Drug Screening/Immunization Tracking)

·         Point of contact for St. Croix Campus for all students to ensure screenings are processed and received in a timely manner and that all immunization and health documentation is in compliance with University standards.

·         Maintenance of results in electronic form.

·         Prepare preceptor manuals and packets for annual mailing for St. Croix Campus preceptors

·         Keep track of Incident Reports for students in St. Croix

·         Assist the Program Contract Specialists collect and hand delivered  Educational Affiliation Agreement Packages or other credentialing documents for USVI new sites and preceptors as needed

·         PA Manager Data entry to generate patient encounter log report from St. Croix students rotations and submit to the Data and Self Study Manager for the HRSA Grant report.

·         Assist with Site Development (including traveling to different islands and/or mainland)


Skills Required

 Qualifications:

1.    High school diploma

2.    1-3 years of related experience

3.    Experience using Microsoft office applications is a must

4.    Excellent communication skills, verbal and written

5.    Excellent customer service skills

 Supplemental Information:

This position requires skills testing in Outlook, Word and Data Entry.
