Job Overview As Client Services Coordinator at The Walker Legal Group, you will play a pivotal role in ensuring a seamless, client-centered experience from first contact through case closure. You will act as the trusted liaison between clients, legal professionals, and internal teams—overseeing onboarding, communications, scheduling, billing, and operational support. Your commitment to professionalism, empathy, and detail orientation will help maintain the firm’s high standards of client care and excellent service. About the Role The Client Services Coordinator plays a vital hybrid role supporting both the Operations and Legal Teams to deliver exceptional client experience. This position ensures that every stage of the client journey—from initial contact through onboarding, active representation, billing, and offboarding—is handled with professionalism, empathy, and precision. The coordinator reports to the Chief Operating Officer and their designated Team Lead, serving as the bridge between clients and the firm’s legal professionals to enhance responsiveness, efficiency, and service quality. Key Responsibilities · Coordinate client onboarding, scheduling, and follow-up to ensure a seamless and positive experience. · Maintain accurate calendars for attorneys and practice areas, including client meetings and case deadlines. · Support client billing and accounting processes, including time tracking and payment coordination. · Manage client files and documentation, ensuring accuracy and timely electronic court filings. · Receive, organize, and distribute incoming mail while maintaining general office operations. · Participate in weekly Client Services and Practice Area meetings to review priorities and updates. · Assist with firm events, community initiatives, and other operational support activities as needed. · Serious Candidates Will Possess the Minimum Qualifications - Minimum of 2 years in a high-volume administrative, intake, or customer service role
- Proven ability to handle sensitive information with discretion and professionalism
- Strong attention to detail, time management, and multitasking abilities
- Exceptional verbal and written communication skills
- Proficiency in:
- Clio
- GSuite
- Adobe
- Microsoft Office (Word, Excel, Outlook)
- Canva
- Training or experience in:
- Billable Hour Bootcamp (or similar billing and time-tracking programs)
- Client and Trust Accounting
- Electronic Court Filing Systems (Superior Court, District Court, and Third Circuit)
Preferred Qualifications - Bilingual (Spanish/English)
- Prior experience as a case manager or legal assistant
- Familiarity with legal procedures, medical terminology, and billing practices
Education - Associate or bachelor’s degree in business administration, legal studies, or a related field preferred
